Position Summary

The Office Operations Support is an entry-level position within our Managed Services department, one of our fastest-growing departments! In this position, you will be responsible for completing general office duties, as well as inputting customer data and ordering, monitoring, and retrieving documents for various clients. 

How You'll Succeed

  • Distributes Managed Services mail.
  • Files documents in alphabetical order and retrieves documents as requested.
  • Prepares, files, copies/scans client/company documents and purges outdated documents per established schedule.
  • Orders departmental supplies and stores in designated areas.
  • Indexes forms by recognizing required documents and assigning document to correct file. 
  • Processes Title & Registration requests, to include entering information into systems, following up on orders, and sending out documents to clients. 
  • Enters client/company data into various spreadsheets and systems. 
  • Researches and rectifies data discrepancies as appropriate. Refers complex data discrepancies to appropriate individual. 
  • Prepares and ships outgoing packages for the Managed Services staff. 
  • Provides receptionist coverage for the Vinland building on an as-needed basis.
  • Maintains confidentiality of information related to clients/customers.  Ensures documents and information are properly secured at all times.

The Skills & Backgrounds We're Seeking

  • High School Graduate or General Education Degree (GED).
  • 6 plus months of experience in a general office setting preferred.
  • Must be proficient in the use of a PC and MS Office Suite.
  • Strong multi-tasking and organizational skills.

Physical Requirements

Work is performed primarily in a standard office environment. Work involves operation of personal computer equipment for extended periods of time. 

Work also involves bending, squatting, reaching above shoulder, and lifting up to 25 lbs on a regular basis. The position operates motorized equipment such as order picker and golf cart.
